Friday, October 7, 2018

7:00 a.m. – 8:00 a.m.  Exhibitor Move-in

8:00 a.m. – 2:30 p.m.  Expo Open

2:30 p.m. – 5:00 p.m.  Exhibitor/Excel Tear down

Exhibitor Set Up and Tear Down

You can set up your booth during set-up hours on Thursday afternoon and/or Friday morning. Upon arrival, proceed to the exhibitor check-in desk in Grand Ballroom 1-4, 2nd floor, The Westin Indianapolis. Our team will be there to greet you with your exhibitor packet and booth attendee passes.

Tear down will take place Friday afternoon.

The Westin Indianapolis located at 241 W. Washington Street. in Indianapolis.

The loading dock is located off the alley at the back of the hotel. You can access the alley from Washington Street or Maryland Street and can park your vehicle to unload.  Please note that your vehicles will have to be moved once you have unloaded. The alley is a tow zone and permanent parking is not permitted.  Security is located at the dock to assist with directions. The freight elevator is at the end of the corridor near security.

You have the option to ship your materials through Excel Decorators, ship to the FedEx Westin office (Chamber is not to be held responsible for any items shipped directly to hotel), or to bring in your items on your own with a cart. Carts will be limited, if any. Please plan to bring your own cart to move in/out your materials.

Shipping Instructions

Specific shipping instructions will be included in the exhibitor kit from Excel Decorators.

Please note: The Indiana Chamber of Commerce, The Westin Indianapolis and Excel Decorators will not be responsible for items shipped directly to the hotel.

Exhibitor Decorator Kit and Booth Assignments

Booths numbers have been distributed. The exhibitor decorator kit from Excel Decorators has been emailed to all exhibitor contacts. Excel Decorators will take care of your drayage needs and additional booth furnishings. If you have not received your exhibitor services kit or booth number, please contact

We reserve the right to make changes in order to accommodate the sponsors and exhibitors who have registered this year for the Wellness Summit Expo.

The furnishings provided in each booth include a 6-foot skirted table, two chairs, signage, and a wastebasket. Electricity and high speed Wi-Fi is not included. You may order electricity through the Hyatt Regency Indianapolis should you need it. Basic wi-fi is included. Wi-Fi login and password information will be provided onsite in the program guide.

Drawings for Prizes

We anticipate 300+ attendees at this year’s conference. It will be the responsibility of each exhibitor to determine the winner of their prize at the conclusion of the Wellness Summit Expo. As the exhibitor, you are responsible for drawing names at your booth and either personally delivering the prize to the winning attendee, mailing the prize to their homes or writing the name of your winner and your booth number on the white board provided. More information will be provided at registration on the process. If you do not wish to participate in these drawings, you are not obligated to do so.

Wellness Summit Expo Theme

This year’s conference theme is Sharing Your Wellness Story. Exhibitors are encouraged to incorporate the theme into the booth design!
