7:00 a.m. – 8:00 a.m.  Exhibitor Move-in

8:00 a.m. – 2:30 p.m.  Expo Open

2:30 p.m. – 5:00 p.m.  Exhibitor/Excel Tear down

Exhibitor Set Up and Tear Down

You can set up your booth during set-up hours on Tuesday afternoon and/or Wednesday morning. Upon arrival, proceed to the exhibitor check-in desk in Cosmopolitan Ballroom Foyer, 3rd floor, Hyatt Regency. Our team will be there to greet you with your exhibitor packet and booth attendee passes.

Tear down will take place Wednesday afternoon.

Exhibitors may also unload display materials at the valet station and bring their items up the elevator or escalator to the 3nd Floor, Cosmopolitan Ballroom Foyer, or they can park in any of the nearby by garages and bring over their items to the Hyatt Regency Indianapolis

Shipping Instructions

Specific shipping instructions will be included in the exhibitor kit from Excel Decorators.

Please note: The Indiana Chamber of Commerce, Hyatt Regency Indianapolis and Excel Decorators will not be responsible for items shipped directly to the hotel.


The Hyatt Regency Indianapolis is the official hotel of the 2017 Indiana Health & Wellness Summit.

Exhibitor Decorator Kit and Booth Assignments

Booths will be assigned approximately one month prior to expo date. The exhibitor decorator kit from Excel Decorators will be emailed to exhibitor contacts in early September. Excel Decorators will take care of your drayage needs and additional booth furnishings. If you have not received your email packet by September 8th, please contact

We reserve the right to make changes in order to accommodate the sponsors and exhibitors who have registered this year for the Wellness Summit Expo.

The furnishings provided in each booth include a 6-foot skirted table, two chairs, signage, and a wastebasket. Electricity and high speed Wi-Fi is not included. You may order electricity through the Hyatt Regency Indianapolis should you need it. Basic wi-fi is included. Wi-Fi login and password information will be provided onsite in the program guide.

Drawings for Prizes

We anticipate 400+ attendees at this year’s conference. It will be the responsibility of each exhibitor to determine the winner of their prize at the conclusion of the Wellness Summit Expo. As the exhibitor, you are responsible for drawing names at your booth and either personally delivering the prize to the winning attendee, mailing the prize to their homes or writing the name of your winner and your booth number on the white board provided. More information will be provided at registration on the process. If you do not wish to participate in these drawings, you are not obligated to do so.

Wellness Summit Expo Theme

This year’s conference theme is FORMULA for WELLNESS. Exhibitors are encouraged to incorporate the theme into the booth design!
